City Clerk's Office 

The City Clerk's office is responsible for coordination and preparation of City Council meeting agendas and packets, City Council meetings, Municipal Code maintenance, City records management, and election administration.

The City Clerk's office serves as the local filing officer for all campaign and conflict of interest disclosure statements as required by the State Political Reform Act. This includes campaign contributions and expenditure reports from officeholders, candidates for City Council and committees, as well as Statements of Economic Interest from current City officials and designated employees, in accordance with the City’s Conflict of Interest Code.

What does the Office of the City Clerk Do?
Election Services
It is the duty of the City Clerk's office to conduct Municipal Elections in accordance with the Municipal Code, California Elections Code, and Fair Political Reform Act. The City Clerk's office staff provides guidance to candidates in meeting their legal responsibilities before, during, and after an election.

Legislative Services
The Clerk's office coordinates the preparation and distribution of official City Council Agendas prior to each City Council meeting. Before and after the City Council takes action, the City Clerk ensures that actions are in compliance with all federal, state and local statutes and regulations, and that all actions are properly executed, recorded and archived.

Records Management
The City Clerk's office serves as the custodian of many public records of the City, including ordinances, resolutions, minutes of the City Council, agreements, election-related documents, campaign disclosure filings, statements of economic interest, and many others. If you would like to request a copy of these types of public records, please complete a Public Records Request Form.

Municipal Code 
The City Clerk's office maintains the Sierra Madre Municipal Code, which is a compilation of City laws and regulations and is accessible at City Hall and on-line.


City Boards, Commissions, and Committees
The City Clerk's office coordinates the recruitment process for all of the City's advisory bodies. Vacancy notices and applications are available on-line and in the office.


Legal Deadlines:
Sierra Madre City Hall regular office hours are Monday through Thursday, 7:30 a.m. to 5:30 p.m. We are closed on Fridays.

Deadlines for legal filings (including, but not limited to: Commission appeals, claims against the City, etc.) that fall on a Friday, a weekend, or holiday shall be considered received by the City on the next immediate business day.  

For example, if a deadline to file an Appeal to a Commission decision would fall on a Friday, with the next business day being a Monday, which happens to be a holiday, then that Appeal would be considered timely filed if received by the City the next immediate business day which would be a Tuesday.

City of Sierra Madre Local Appointment List

In compliance with the requirements of the Maddy Act (California Government Code Section 54972) the following Appointments List is posted on annual basis on or before December 31st. The Local Appointments List indicates a list of appointive terms with the name of the incumbent appointee, the date of the appointment, and the date the term expires.
